1. Introduction
Shift Stories ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and protect your personal information when you use our mobile application ("the App"). By using Shift Stories, you agree to the collection and use of information in accordance with this policy.
2. Information We Collect Information You Provide:
Name and email address (account creation), healthcare role and shift schedule preferences, journal entries and mood check-ins you create, and assignment and facility information you enter.
Voice Recordings:
When you use the voice journal feature, your audio is transmitted securely to our transcription service (OpenAI Whisper), converted to text, and the audio file is permanently deleted immediately after transcription is complete. We do not store, retain, or have access to your voice recordings after transcription.
Photos:
If you choose to attach photos to your journal entries or shift stories, those photos are stored securely in our cloud storage (Supabase) and associated with your account. Your photos are used only to display within your own entries and are never shared with third parties, used for advertising, or analyzed for any purpose other than displaying them back to you. Deleting an entry removes its associated photos. Deleting your account permanently removes all photos within 30 days.
Usage Data:
We collect anonymous analytics data to improve the app, including feature usage patterns, crash reports, and general performance data. This data cannot be used to identify you personally.
3. How We Use Your Information:
We use your information solely to provide and improve the App, display photos you attach to your entries, send you shift check-in notifications based on your schedule preferences, generate your personal insights and burnout tracking dashboard, and respond to support requests. We do not use your information for advertising. We do not sell your data to third parties. We do not share your journal entries with anyone under any circumstances.
4. Data Storage and Security:
Your journal entries and personal data are encrypted at rest and in transit using AES-256 encryption. Your data is stored on secure cloud servers provided by Supabase. We implement industry-standard security measures to protect your information from unauthorized access, disclosure, or destruction.
5. Data Retention:
We retain your account data for as long as your account is active. If you delete your account, we permanently delete all associated data within 30 days. Voice recordings are deleted immediately after transcription — they are never retained.
6. Your Rights:
You have the right to access all data we hold about you, correct inaccurate data, request deletion of all your data, export your journal entries, and withdraw consent at any time. To exercise these rights, go to Settings → Privacy & Security in the app, or email us at stories@saltbrookventures.com.
For users in the European Union and United Kingdom, these rights are guaranteed under GDPR and UK GDPR respectively. For users in California, these rights are guaranteed under CCPA.
7. Children's Privacy:
Shift Stories is not intended for users under the age of 18. We do not knowingly collect data from anyone under 18.
8. Third Party Services:
We use the following third-party services to operate the app: OpenAI Whisper (voice transcription — audio deleted immediately after processing), Apple App Store (in-app purchases, subscription billing, app distribution, and push notifications — payment details are handled entirely by Apple), and Supabase (secure data storage). Each third party operates under their own privacy policies and security standards.
9. Changes to This Policy:
We may update this Privacy Policy from time to time. We will notify you of significant changes via in-app notification and email. Continued use of the App after changes constitutes acceptance of the updated policy.
